The Department of Environmental Quality (DEQ) has a current opening for an Administrative Assistant 2. This position supports the Water Quality Division.

This announcement will be used to fill a vacancy in the Water Quality Division only. If you have previously applied for Administrative Assistant 2, and wish to be considered for the current vacancy, you must reapply under this announcement. Previous scores will not be used.

This position requires MQ specialty area:

#13(1406B) Specialty Area: Keyboard/type 60 WPM; #24 (1815B) Specialty Area: Microsoft Word (Advanced Level); #26 (1840B) Specialty Area: Microsoft Excel (complex data analysis); #30 (5200B) Specialty Area: Supervisory Practices

Responsibilities:

  • Provide administrative and public relations support for the Administrator, and Program Managers
  • Assistance staff with purchase requisitions
  • Supervise billing and accounts receivable
  • Administer Public Record Requests (PRR)
  • Provide oversight and assistance with electronic document filing system
  • Supervise clerical staff
  • Prepare enforcement documents and correspondence
  • Assist managers with personnel actions such as hiring procedures, offer letters, new employee orientation, performance evaluations
  • Handle confidential personnel documents 

Minimum Qualifications:

  • Good knowledge of office support functions including word processing, filing, composing a variety of business documents and reception.
  • Experience researching, compiling and summarizing data for reports.
  • Experience interpreting, applying and explaining information such as regulations, policies or services.
  • Experience independently solving problems/performing liaison activities in a work setting.
  • Experience coordinating activities requiring complex arrangements.
  • Experience storing, retrieving, and compiling information in a report format using database software.

Physical Requirements

  • Able to sit and work on a computer for 2-4 hours
  • Ability to reach and bend for filing purposes
  • Some period of heavy reading and typing
  • Ability to lift 30 pounds

 

 

 

 

 

Examination:

Part 1 - Minimum Qualifications (Pass/Fail). Part 2 - Multiple-Choice Written Exam (100%). If you meet the minimum qualifications as shown in Part 1, you will receive a Pass score and can then take Part 2 (the online written examination). You must receive a Pass on Part 1 and a minimum score of 60 on Part 2 in order to be put on the register for these positions. Both Part 1 and Part 2 must be completed by the closing date of this announcement.  Notification of your test results will be available online once you have completed each part of the exam.

The multiple-choice written examination (Part 2) for this position can only be taken once every three months. Once you apply and take the exam, you can reapply when your score expires. At that time you will need to retake the written examination.

This is a timed exam.  You will have 60 minutes to complete this exam.  It is recommended that you do not start this exam if there is a chance you will be interrupted.  Once you hit the start exam button, your time will continue to count down until your 60 minutes is up.   If you do not complete the exam within the 60 minutes, you will have to wait until your three months is up before you can take the exam again.
